BTC PASSPORT

TERMS AND CONDITIONS
Effective Date: 09/01/2026

By purchasing or using a BTC Passport, the passport holder agrees to the following Terms and Conditions.

1. Purpose of the Passport
The BTC Passport is part of the Beyond The City experience. It may also give the holder access to promotional perks offered by participating partner businesses.
These perks may include discounts, complimentary items, special offers, or other promotional benefits.
The BTC Passport does not provide free admission to future Beyond The City chapters unless a specific offer clearly states otherwise.

2. Partner Perks Are Promotional Benefits
Partner perks are additional promotional benefits connected to the BTC Passport. They are not guaranteed products, services, payments, credits, or promises of a specific monetary value.
The availability, type, value, conditions, and participating businesses may change at any time.
A perk shown in the passport, on the BTC website, on social media, or in another BTC communication may later be modified, substituted, suspended, or discontinued.
BTC does not guarantee that every perk will remain available for the entire life of the passport.

3. Participating Businesses
Participating businesses are independently owned and operated. They are not employees, agents, or representatives of Beyond The City.
Each participating business is responsible for:

  • Establishing the conditions of its offer;

  • Confirming whether the perk is currently available;

  • Providing the product, service, discount, or complimentary item;

  • Applying its own operating hours, availability, inventory, age restrictions, and other reasonable business rules; and

  • Stamping the physical passport when the perk is redeemed.

BTC does not control the daily operations, employees, inventory, products, services, schedules, closures, decisions, or customer service of participating businesses.

4. Physical Passport Required
The original physical BTC Passport must be presented to the participating business at the time the holder requests the perk.
Photographs, screenshots, photocopies, digital reproductions, receipts, purchase confirmations, or verbal statements are not substitutes for the physical passport.
The participating business may refuse the perk when the original physical passport is not presented.
The passport must be presented before completing the applicable purchase or transaction.

5. Stamps and Redemption
The participating business will place its own authorized stamp or mark in the passport when the perk is redeemed.
Unless the specific offer states otherwise:

  • Each perk may be redeemed only once per passport;

  • A completed stamp means that the perk has already been used;

  • Stamps cannot be removed, transferred, duplicated, or reused;

  • Perks cannot be exchanged for cash, store credit, or another benefit; and

  • Multiple passports or offers cannot be combined unless the participating business permits it.

Altered, copied, counterfeit, or unauthorized passports or stamps are invalid.
BTC and participating businesses may refuse a passport that appears to have been altered, duplicated, fraudulently stamped, or improperly used.

6. Partner-Specific Conditions
Certain perks may be subject to additional conditions established by the participating business, including:

  • Specific operating days or hours;

  • Product or inventory availability;

  • Age requirements;

  • Purchase requirements;

  • Redemption limits;

  • Excluded products or services;

  • Advance notice; or

  • Other reasonable restrictions connected to the offer.

Passport holders are responsible for reviewing the current details of an offer before visiting a participating business.

7. Changes to Information
BTC will make reasonable efforts to keep partner and perk information accurate. However, business information can change without BTC receiving advance notice.
Business names, locations, operating hours, contact information, available products, offer details, restrictions, and participation status may change.
BTC does not guarantee that every printed or previously published detail will remain current.
Whenever possible, passport holders should review the most recent information provided through BTC’s official channels before attempting to redeem a perk.

8. Partner Refusal or Failure to Provide a Perk
Because partner businesses operate independently, BTC cannot guarantee that a participating business will honor or properly deliver a perk.
BTC is not responsible for:

  • A business refusing a perk;

  • A business changing or discontinuing its offer;

  • An unavailable or out-of-stock item;

  • A business being closed;

  • Incorrect information provided by a business;

  • The quality, safety, condition, or suitability of a partner’s products or services;

  • A disagreement between the passport holder and the business; or

  • Any loss, expense, inconvenience, or disappointment connected to a partner perk.

A partner’s refusal or failure to provide a perk does not create an obligation for BTC to provide a replacement, cash payment, credit, reimbursement, or alternative benefit.

9. Complaints About Participating Businesses
A passport holder who experiences a problem with a participating business may submit a complaint to BTC at:
information@beyondthecity.club
The complaint should include:

  • The passport holder’s name;

  • The participating business;

  • The date of the attempted redemption;

  • The perk requested;

  • A description of what occurred; and

  • Any relevant photograph, receipt, or supporting information.

BTC may review the complaint, request additional information, and contact the participating business.
Submitting a complaint does not guarantee that BTC will be able to resolve the issue. A review does not create a right to a refund, reimbursement, replacement perk, credit, or compensation.
BTC may remove or suspend a partner from the passport program when BTC determines that action is appropriate.

10. Payments Made to Partner Businesses
Any purchase made directly from a participating business is a transaction between the passport holder and that business.
The partner business is solely responsible for its prices, charges, refunds, exchanges, products, services, and customer service.
BTC does not process, control, or reimburse payments made directly to participating businesses.
Any complaint concerning a charge, refund, product, or service purchased from a partner should first be directed to that business.

11. Passport Refund Policy
BTC Passport purchases are final and nonrefundable.
BTC does not provide refunds or partial refunds because:

  • A perk was changed or discontinued;

  • A participating business closed or left the program;

  • A business refused or failed to provide a perk;

  • A perk was not used;

  • The passport holder did not visit a participating business;

  • The passport holder lost or damaged the passport;

  • The holder did not receive the expected value from the available perks; or

  • Partner information changed after the passport was purchased.

Nothing in these Terms eliminates any consumer right that cannot legally be waived.

12. Lost, Stolen, or Damaged Passports
The passport holder is responsible for protecting the physical passport.
BTC is not responsible for lost, stolen, forgotten, destroyed, or damaged passports.
Past stamps, unused perks, and redemption history may not be transferable to a replacement passport.
Any replacement will be subject to BTC’s current replacement policy and may require proof of purchase.

13. Misuse
The BTC Passport may not be copied, reproduced, altered, resold, fraudulently stamped, or used in a misleading or unauthorized manner.
BTC may cancel or reject a passport when there is reasonable evidence of fraud, alteration, duplication, resale, abuse, or misuse.
Benefits lost because of fraud or misuse will not be refunded or replaced.

14. Changes to These Terms
BTC may update these Terms and Conditions, participating businesses, passport rules, and available perks at any time.
The most recent version of these Terms and Conditions will be available at:
https://www.beyondthecity.club/termsandconditions
Continued use of the BTC Passport after an update means the passport holder accepts the updated Terms and Conditions.

15. Limitation of Responsibility
To the maximum extent permitted by law, BTC is not responsible for the independent actions, omissions, products, services, employees, premises, representations, or decisions of a participating business.
Partner perks are used voluntarily and at the passport holder’s own discretion.
Nothing in these Terms limits a responsibility or legal right that cannot be excluded under applicable law.
